What video/audio formats do you accept?

For transcript services, the accepted file formats include MP4, M4V, MP3, WMA and WMV.

For caption services, the accepted file format is MP4.

Can you transcribe an externally hosted video?

Yes.

We can transcribe YouTube and Vimeo hosted videos. You will need to provide us with the link to the site, which you can do when you submit an order.

Unless you are the owner/author of the video, due to the terms and conditions of many streaming sites, only transcripts can be created as altFormats will not circumvent any technical protection measures enforced by the owner and operators.

What is the charged length based on?

Charged length is determined by rounding the length up to the next minute (excluding where the length is already at the full minute mark).

For example, if the video duration is 15 min and 20 sec, then the charged length will be 16 minutes. If the video duration is exactly 15 min, then the charged length will be 15 min.

What are your turnaround times?

You can specify the turnaround time you need when you place an order. You can also use the rate estimator tool to get a price estimate, which is based on turnaround times.

All delivery times quoted are based on business days only (unless you have selected the weekend rate). These include same day, 1-2 day and 3-10 day turnarounds.

Is there a limit to how long a recording can be?

No, there isn't.

However, the length of a file may have an impact on turnaround times:

  • Transcript only requests for files with a length of 1 hour or less will be delivered in the turnaround time specified by the order submitted.
  • Transcript only requests for files with a length of over 1 hour may take 1-3 business days to complete, although every effort will be made to complete them sooner.
  • Transcript and caption requests for files with a length of 1 hour or less will be delivered in the turnaround time specified by the order submitted.
  • Transcript and caption requests for files with a length of over 1 hour may take up to 2-3 days to complete, although every effort will be made to complete them sooner.

You should take the length of a file into account when selecting turnaround times.

What if I only need captions and not a transcript?

Caption only services require a transcript to be provided.

In the event that you only need a caption file to be created, you can upload your existing transcript file for captioning and specify your instructions in the 'Additional Information' field when you place an order.

Are there any extra charges?

Poor quality audio, difficult language or multiple speakers (2 speakers or more) may incur additional charges per transcript request.

You can use the rate estimator tool to work out the cost of an order with different transcript options.

Sometimes you may not get a chance to listen through a whole recording to know if any additional transcript options apply. Every effort will be made to notify you of any additional charges in advance.

What if there is video playback within a video?

Embedded video playback in a recording will be considered as multiple speakers.

If we come across embedded video playback, you will be notified at the time to determine if an additional charge for multiple speakers is required if it hasn't already been added to your order.

What happens if I upload a file with no audio?

Don't be surprised, but mistakes happen!

In the event that an order is submitted with no spoken text to transcribe, a $10 handling fee will be incurred.

Is there a cut off time for submitting requests to be processed?

Requests submitted after 12PM may be processed the following business day.

The only exception to this is for same business day requests, which must be received by 10AM.

What formats do you provide?

Transcripts will be delivered in DOC format and caption files will be delivered in SRT and WebVTT formats.

If you require a different format, you can note this in the 'Additional Information' field when you place an order.

How will I receive the completed files?

Once your order has been completed, the transcript/caption files will be emailed to you.
